Eligibility
You must be aged 13 or older to use Book My Room. By creating an account you confirm that you meet this age requirement.
Your account
- Each person may hold one account only.
- You are responsible for keeping your login credentials secure.
- You must provide accurate information when creating your account (name, email, job title).
- You may not share your account credentials with others.
Organisations
Book My Room is a multi-tenant service. Each account belongs to one organisation at a time.
- Creating an organisation — the creator becomes the superadmin with full administrative privileges.
- Joining an organisation — new members join via a 6-character code issued by an admin. New members require admin approval before accessing the organisation.
- Admin responsibilities — organisation admins are responsible for managing members, rooms, and settings within their organisation. Rhubarb Press is not responsible for how individual organisations configure or use the service.
Acceptable use
You agree not to:
- Create bookings for the purpose of blocking rooms or disrupting others
- Provide false information in your account or bookings
- Attempt to access data belonging to other organisations
- Use the service for any unlawful purpose
- Deliberately exploit bugs or vulnerabilities in the app
- Reverse-engineer, decompile, or disassemble any part of the app
Bookings
- Bookings are subject to your organisation's approval settings (automatic or admin approval).
- You may cancel your own bookings at any time.
- Admins may cancel any booking within their organisation.
- Recurring bookings create individual booking records for each occurrence.
- Book My Room does not guarantee the physical availability of rooms — it is a scheduling tool only.
Outlook calendar sync
Connecting your Microsoft 365 Outlook calendar is optional. When connected, confirmed bookings are automatically added to your Outlook calendar. You may disconnect at any time in Settings. Calendar event creation and deletion is performed on your behalf using the Microsoft Graph API with your explicit consent.
Subscriptions and pricing
Book My Room offers free and paid tiers. Paid subscriptions are billed through the Apple App Store or Google Play Store. Cancellation, refund, and billing enquiries should be directed to the respective store. Rhubarb Press does not process payments directly. The free tier includes non-personalised advertisements.
Intellectual property
All content in Book My Room — including app design, branding, and software — is owned by Rhubarb Press or its licensors. You may not copy, reproduce, or redistribute any part of the app without prior written permission.
Data and privacy
Your use of Book My Room is also governed by our Privacy Policy, which describes how we collect, use, and protect your data.
Termination
- We may suspend or terminate accounts that violate these terms.
- Organisation admins may remove members from their organisation at any time.
- You may delete your account from within the app (Settings > Delete Account) or by contacting us at enquiries@rhubarbpress.com.
- Upon account deletion, your personal data is permanently removed. Booking records may be retained in anonymised form.
Disclaimers
- Book My Room is provided “as is” without warranty of any kind.
- We do not guarantee uninterrupted availability or that the service will be free from errors.
- Book My Room is a scheduling tool — we are not responsible for the physical availability, condition, or suitability of any room.
- Features may be added, modified, or removed at our discretion.
Limitation of liability
To the maximum extent permitted by law, Rhubarb Press shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of Book My Room. Our aggregate liability for any claim relating to the service is limited to the amount you have paid to us in the 12 months preceding the claim, or £50, whichever is greater.
Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the non-exclusive jurisdiction of the courts of London, England.
Changes to these terms
We reserve the right to update these terms at any time. The “last updated” date at the top of this page will be revised accordingly. Material changes will be notified to you within the app. Continued use of Book My Room after changes constitutes acceptance of the updated terms.
